Terms, Conditions & Policies

At The Virginia May, I strive to ensure your stay is relaxing, enjoyable, and free of surprises. Please take a few moments to review the following policies before your visit:

1. Reservations & Payments

  • Your reservation is important to us. As a small, owner-operated business, each booking holds significant value.

  • Full payment is required at the time of booking, including a 2.5% convenience fee for credit card transactions.

  • Standard Cancellation Policy:

    • Cancel 14+ days before arrival: Full refund.

    • Cancel 7–14 days: No refund, but reservation may be rebooked (rate differences may apply).

    • Cancel 0–7 days: No refund or rebooking.

  • Holiday Policy (Thanksgiving, Christmas, July 4th):

    • 21+ days: Full refund.

    • 14-21 days: No refund, but rebooking may be considered

    • 0–14 days: No refund.

    • Please note: As a small business, last-minute cancellations are especially challenging to rebook for major holidays, and can significantly impact our ability to operate. Thank you for understanding and supporting small, local hospitality.

2. Weather

  • Refunds will not be issued due to weather-related changes or cancellations.

3. Check-In / Check-Out

  • Self Check-In: Anytime after 3:00 PM.

  • Check-Out: By 11:00 AM.

  • You'll receive a welcome email upon confirmation and a reminder with your door code the morning of your stay.

4. Breakfast

  • Gourmet breakfast is delivered to your cottage daily between 8:45–9:00 AM.

  • Please advise in advance of dietary needs or if an earlier delivery is required.

5. Guest Capacity & Extra Guests

  • The Baby Guest House comfortably accommodates 2 guests.

  • The Guest House accommodates 2–4 guests.

  • Rates are based on double occupancy; each additional guest is $50/night.

6. Children & Supervision

  • The Virginia May is primarily designed with adult guests in mind.

  • Children are welcome but must be supervised at all times.

  • Please note: There is a friendly dog (Gibson) on the property.

7. Damages

  • Guests are responsible for any damages incurred during their stay. Charges will be assessed and billed accordingly. This includes any damage from service dogs.

8. Special Event Bookings

  • Planning a celebration or booking the entire property? Please contact me directly, as separate terms may apply.

9. Pets

  • Pets are not permitted.

  • Service animals, as defined by law, are welcome but must remain with their owners at all times and not be left unattended. Verification must be provided before reservation is completed.

10. Smoking & Tobacco Use

  • Smoking, vaping, or chewing tobacco is not permitted inside the cottages or on the porches.

  • A designated outdoor smoking area is provided near the picnic table.

  • A $300 cleaning fee applies if this policy is violated.

11. Visitors & Quiet Hours

  • Please limit visitors and ensure all unregistered guests depart by 9:00 PM.

  • Quiet hours are in effect from 10:00 PM to 8:00 AM to respect our peaceful residential neighborhood.

  • No firearms are allowed on the property

12. Housekeeping & Cleanliness

  • No laundry or daily housekeeping services are provided.

  • For stays of 5+ days, trash removal and fresh linens will be provided on Day 5.

  • At check-out, please:

    • Wash and put away all dishes

    • Place used towels and robes in the tub

    • Tie up all garbage

13. Parking

  • Guests park at their own risk. The Virginia May is not responsible for damage or theft involving vehicles or items left inside.

14. Lost & Found

  • The Virginia May is not liable for items left behind. Please double-check your space before departure.
